VIEWPOINT PARTY BOOK - POLICIES & PROCEDURES
RESERVATIONS, PAYMENT POLICIES, AND PROCEDURES
The mission of Viewpoint Party Book is to raise funds for the Viewpoint School Service Association (VSSA) while building community and having fun! Parties are for Viewpoint Parents/Guardians, Children, Faculty and Staff only.
Tickets can be purchased at the Party Book link on the VSSA website: https://www.viewpointvssa.com/party-book
Parties have been carefully scheduled to avoid conflicts with school events, but please make sure to check the dates against your personal calendar, as payment is non-refundable. If you are unable to attend, your payment will be considered a donation. Payments must be made online by credit card only.
If a party is full, there may be a wait list available. Click on the link provided to add your name to the waitlist.
You will be contacted by your hosts prior to each event to confirm details. If you are unable to attend a party, you may transfer your ticket to the next person on the waitlist for this event. In this case, please only notify the Party Book Chairs to assist in facilitating the ticket transfer. Party Hosts do not have the discretion to add or change attendees to their parties.
IMPORTANT: If you attend a party you did not pay for in advance, you will receive an email notification asking you to pay through the Party Book website. All parties must be paid for in advance through the Party Book website.
If the host cancels an event, the host will send an email to all paid guests informing them of the cancellation. The VSSA will contact paid guests and give them the option to consider their payment as a donation to the school or to request a refund. This is the only reason a refund is offered. If the host reschedules an event and you are unable to attend the party, your payment will be considered a donation to the school. If you would like a refund, you must contact the Party Book Chairs to request it. If a party is rescheduled, the new date of the party must take place before the last day of school.
Please note that any monies expended towards attending or hosting Party Book events are entirely separate from and not counted towards the Viewpoint Annual Giving program. Tax letters can be supplied to hosts. If you need a tax letter, please submit a VSSA Expense Reimbursement Form as a Donation. We do not generate tax letters for purchasers of parties.
Full release of responsibility: Viewpoint School as a recipient of the proceeds from the event, disclaims any knowledge of or familiarity with the event as set forth in the donor description. The purchaser and hosts bear responsibility and fully release Viewpoint School from any and all responsibility including, but not limited to, negligence, and for all damages, injury and/or consequences following from use of, or participation in the events. It is the responsibility of the recipient to investigate any and all potential risks of any events or services purchased. Viewpoint School makes no representation or warranty regarding any event with respect to availability or sufficiency of any insurance coverage in connection with an event. Purchaser and hosts release and hold Viewpoint School harmless for any and all damage and liability related to hosting or participating in a “Party Book" event.
HOST POLICIES
Please be considerate of your co-hosts when planning your party. Plan a budget ahead of time and try to stick to it. If your party involves a "faculty guest of honor," please be considerate of your faculty guest. The faculty member should NOT pay for anything related to the party. The hosts are responsible for 100% of the costs of the party. All parties, including rescheduled parties, must take place before the last day of school.
Hosts will send an email invitation or Evite prior to the event with all the party details to paid guests only.
If you reschedule the date of your party, you must advise the Party Book Chairs. Hosts must follow Party Book procedures to fill open guest spots.
Hosts will receive an automated list of all paid guests several weeks prior to the event. If someone who signed up for your party informs you that they cannot come, their spot should be opened up to the first person on the waitlist.
Hosts are responsible for checking to be sure all guests in attendance match the automated list of paid guests that they received from the website. Please email the Party Book Chairs if additional guests, who were not on the paid guest list, attended your party so that we may collect payment from them.
If a host cancels an event, the Party Book Chairs must be notified. The host will send an email to all paid guests informing them of the cancellation. The VSSA will subsequently contact paid guests and give them the option to consider their payment as a donation to the school or to request a refund.
For any questions, please contact the Party Book Chairs.
