VSSA Merchandising
Design, print and sell merchandise for various events and school related fun wear throughout the year.
  • Create fun designs and work with the marketing department throughout the year to get design approved.

 

  • Work with a printing company to price and print designs.

  • Work with the school operations team to set up tables and sell merchandise (either pre-orders or in house inventory) at various on and off campus events

    • Including: Homecoming, VSSA meetings, Back to School nights, and other events

  • Distribute orders in a timely manner and keep parents up to date on changes in orders as well as answering merchandise related questions

One of the most beloved events of the year for Primary & Lower School are the Spirit Games.
Create a committee that will work with PS&LS Division Heads, Sports Coaches and the Operations team.

Sports Representative
  • Meet with Coaches to introduce yourselves and discuss any needed changes or needs.

  • When the team rosters and game schedules are released send out emails to each team with their team information and a request for a team parent.

  • If you have a team parent volunteer, introduce them to the coach and send them the Team Parent Handbook along with any additional information that might be helpful.

  • Have the team parents send out an intro email and follow their job description specified in the Team Parent Handbook

  • If no one offers to be the Team parent after 24 hours, send a second request, and then make one last attempt with a third request.

  • Let the coaches know which teams do not have team parents.

  • Remind Team Parents to post photos on team websites prior to last games.

  • Remind parents of good sportsmanship.

  • Check in with Team Parents if you see any team correspondence that is not following the guidelines laid out in the Team Parent Handbook.

  • Always respond with positive helpful responses.

Community Service

Select a charity organization in collaboration with the VSSA presidents to feature  during our community service events and Spring Luncheon. This is a great opportunity to give back to the community and support a worthy cause.

  • Assist Viewpoint school Assistant head of Division in organizing student & parent  community service events

  • Liaison with the chosen charity organization

  • Work with Spring Luncheon chairs to highlight the charity during the Spring Luncheon Event

MS & US Music Support
Celebrate the success of the Music performers.

Tasks include organizing and setting up for receptions following the performances.  Also, honor the Seniors at the final performance in the year.

  • Communicate with the Music Department faculty members about upcoming events.

  • Coordinate with the VSSA Spirit Chairs to help promote any community building events associated with the performing arts.

Spring Luncheon
Organize a lovely luncheon in beautiful setting celebrating community service at Viewpoint School.  The focus of the Spring Luncheon is to recognize the amazing achievements of our Upper students in community service and commitment to Diversity and Inclusion. 

Tasks include securring location, select the give-aways, identify vendors, create raffle baskets, and coordinate ticket & raffle ticket sales.

 

Responsibilities

  • Attend VSSA Meetings before and after event.

  • Identify location - off campus

  • Reimagine with focus on K-12 Community Service Activities (PS/LS Day of Giving, Pennies for a Purpose, Food Drive, Book Drive, etc. and MS/US CORE, Activities)

  • Outreach across K-12 divisions to identify points of interest to highlight ongoing community service activities. Work on this with VSSA Community Service Coordinator.

  • Solicit donations of raffle items, organize raffle ticket sales & conduct raffle

  • Get budget Approved

  • Coordinate with Accounting Staff

  • Create marketing plan, including Weekly Mailer – please send information to Alice Courneau (Alumni), M&US Grade and P&LS Room Ambasadors

  • Confirm Senior Speaker (Administration usually handles)

Team Parent
Be your Child's sport team number one fan and sign up to be the team parent.

You will work with the VSSA Division Sport representative to assure that the team is supported.  This will include communication with the parents, collect photos for the end of season sports celebration assembly, and end of season team party.

Holiday Greens
At Holiday Greens workshops parent volunteers put together evergreen sprays, which are presented to each child after the Holiday Programs.

Ribbon Assembly

  • Work with Patti for Tables & linen & Chairs

  • Pop Tents for coverage

  • Arrange a light snack for Volunteers

  • Send out info in weekly mailer

Prom Dance
​The Prom dance is the final dance for the Juniors & Senior at Viewpoint.  It takes place at a venue selected by US Administration.

Tasks includes securing rentals, decor and any special touches you or the students would want to have incorporated into the event.

  • Confirm with Upper School Administration

  • You will need to collect the RSVPs

  • Contract a DJ

Winter Formal Dance
The Winter Formal is held at the Viewpoint School and takes place in the month of February.

Tasks includes coordinating decorations and set up of the Rasmussen Pavillion.  Other tasks include setting up Sign up genius and assure that all the parent donation requests are filled.

Lost & Found
Organize Lost and Found Items and manage Lost and Found Events.

  • Collect Lost and Found Items and set up item display events at set times during the year for each division. Usually during the week prior to holiday breaks.

  • Promote each event via the Weekly Mailer and the Week-At-A-Glance emails by coordinating with Viewpoint Communications team

  • Recruit additional volunteers to help as needed

  • Sort unclaimed items after each L&S event. Donate unclaimed non-uniform items and place unclaimed uniforms in Used Uniform donation bin.

Promote spirit at Viewpoint School events. 

Promote spirit at PS/LS/US/MS sports games and events throughout the year.  This also includes celebrating accomplishments in the performing arts.

Secretary
Assist VSSA Presidents in preparations for Monthly VSSA meetings, including setting & distributing the agenda, preparing presentations and event videos, and take and distribute the meeting notes.

SUG & Creative Design
Assist the VSSA presidents & Viewpoint CMO in creating VSSA event logo's, marketing materials, communication flyers in a timely manner with the guidelines set by Viewpoint Marketing Department.  Work with the various committee chairs to help design flyers for various events as well as update and distribute SUG as needed.

Book Fair
Our annual bookfair is part of the Viewpoint tradition.  We celebrate the love of reading, listen to celebrated authors, showcase the amazing performances of the Suzuki Strings program and the Choir, and participate in fun raffles.
  • Attend all monthly VSSA meetings before and after the event to promote book fair

  • Ask the heads of each school to announce the book fair prior to the assembly preceding the event

  • Coordinate with Barnes and Noble

Used Uniforms
​Collect, organize, and sell the used Viewpoint Uniforms for Primary, Lower, and Middle School. 
  • There are two major sales during back-to-school visitation week, if you are one of the chairs you are obligated to be present for both sales including set up prior to the sale.

  • Coordinate with Viewpoint Support Services to set up sales tables, tents, obtain cash box with till, etc.

  • Organize and manage the PS/LS and the MS used uniform sales Used Uniform Room

  • Maintain price list and tag uniforms as necessary

  • Recruit volunteers

  • Send out brief but detailed donation guidelines to PS, LS, & MS families with Viewpoint Communications Department

Parent Education
​Parent Education committee support the Viewpoint School mission : "To create exceptional readiness for extraordinary futures".
  • Recruit parent participation to help identify potential speakers related to the theme and to promote speaker events. Currently, Parent Education is virtual but when we move to in-person speakers, parent volunteers will be important to help with coordination.

  • Parent Education Chairs solicit the potential speakers, coordinate calendars, negotiate their fees, and request press materials/photos to be used in marketing and presentation slides/videos.

  • Work with VSSA leadership and Administration’s Master Calendar to secure dates.

  • Encourage parent attendance by working with Communications team to develop marketing plan, including Weekly Mailer, Week-at-a-Glance, social media, Class/Grade Reps, Faculty/Staff, Alumni, and School Bulletins (as appropriate).

  • Produce virtual event, setup Zoom/Webinar/etc., share access information, monitor registrations, facilitate online experience and tech during event.

In this role, you will work with the Viewpoint parent community to identify parties and manage the process from promoting, selling tickets, and coordinating with the host families.
  • Build community and create connections among grades/divisions.

  • Recruit volunteers to host or plan Party Book events.

  • Monies raised from events are in support of VSSA's programs throughout the school year.

  • Have a comprehensive full year plan in October - November

Parent Partnership for Diversity & Inclusion
PPDI (Parent Partnership for Diversity and Inclusion) celebrates and recognizes the cultural diversity of Viewpoint School. This parent-led committee hosts parent activities designed to enhance cultural awareness and promote compassion throughout our community.

PPDI connects and supports parents from all affinity groups to strengthen our shared experiences so we can deepen our understanding of one another. We believe that this process helps weave together the fabrics of diverse communities into a stronger whole.

  • Organize, facilitate and assist with all aspects of parent Affinity Groups

  • Identify and recruit Affinity Group Leaders (AGLs) yearly

  • Create training and brainstorming opportunities for AGLs

  • Support AGLs as they strive to bring fresh ideas, events and perspectives to the greater Viewpoint community

  • Organize, host and facilitate engaging and enlightening community events throughout the year that celebrate the vast diversity of Viewpoint and encourage the sharing of cultures and customs

  • Create PPDI communications plan, including newsletter, website updates, marketing/graphic design, zoom events and videos

  • Work in tandem with Director of Diversity, Inclusion and Community Life to ensure all AG perspectives are valued, have community-wide visibility and the content is supported and approved by the Viewpoint Senior Admin Team

  • Carefully vet all event ideas to ensure alignment with the greater overall Viewpoint messaging

  • Host monthly gatherings (whether in-person or virtually) to highlight and honor cultures and/or perspectives being honored that month.

  • Meet with guest speakers to clearly communicate specific goals and throughlines for each event

  • Create detailed, written run throughs of each event and host rehearsals and tech run throughs prior to each event to ensure they are efficient and exciting

  • Get yearly budget approved from VSSA

  • Do month budget tracking to stay within our budget for the year

  • As our membership grows, meet with VSSA Leadership to see if budget restructuring is optimal for the next school year

  • Timely process payments for guest speakers and ensure they have been mailed immediately following events

  • Confirm that reimbursements for AGLs are submitted properly and timely

  • Work with Viewpoint PPDI Liaison to secure dates on the master calendar for all events, whether on or off campus

  • Work with Viewpoint PPDI Liaison to have our events included in the weekly mailer

  • Work with VSSA Leaders to have selected events included with Grade Representatives and Room Parents

  • Work with Viewpoint Alumni Coordinator to have selected events shared with Alumni

Celebrate the success of the Drama performers.  Supporting the cast, teachers, & support staff.

  • Coordinate with the VSSA Spirit Chairs to help promote any community building events associated with the performing arts.

Homecoming Game
​Organize the Viewpoint Homecoming event in collaboration with Spirit Chairs and Viewpoint Facilities, Marketing, Finance, and Sport team.

Audience: Students, Parents, Faculty and Staff TK-12

 

Number of Parent Volunteers needed:

-Various responsibilities the night of the game, ideally 66 parents for the entire night

-7 time slots, 12 parents per half hour slot

-Various volunteers needed throughout Spirit Week as well (approx 10)

VIEWPOINT staff partners:

Facilities, Security, Administration, Communications, Athletics, Faculty – school wide event, all are involved

Material and Equipment used:

Would refer Homecoming Chair to the Facilities Report and invoice for the event to see what is needed to put on the event. Patti Miler in Facilities has a report listing every piece of equipment used, rental and needed for that night.

Time Line for the event: 

  • Before the end of the previous school year: Run Art Contest for T-shirt design

  • 3 months before: Homecoming Date is determined, Food vendors are booked, meet with facilities with preliminary ideas

  • 2 months before: Meet with Administrators, Coaches, Faculty involved and Student Council regarding Spirit Week and Homecoming

  • 2 months before: Finalize Plans for Spirit Week / Homecoming, inform facilities, order any t-shirts for sale

  • 2 months before: Order Give-aways, prizes, Order Printed materials- posters, trading cards needed

  • 2 months before: coordinate vendors needed for Spirit Week (ex: sweet treat Friday)

Great Pumpkin Day
Parents of Primary and Lower School students join their children at a rollicking Great Pumpkin Day event and the children enjoy games, crafts and special food through the remainder of the day.

Join the fun in preparing for this wonderful event.  Tasks include window painting, custom T-shirts, coordinating with the facilities team, and volunteering on the day of the event.

Hot Lunch
​Support the volunteer Hot Lunch program for Primary & Lower School.
This is a leadership position.
  • Work closely with Viewpoint School’s Director of Support Services and SAGE Dining Services to ensure the lunch program runs smoothly throughout the year.

  • Help supervise the serving of Hot Lunch throughout the year.

Oversee Hot Lunch Managers

  • Select responsible managers/supervisors to oversee daily lunch service

  • Train the Managers on the registers and rules of serving the children.

  • Make sure all volunteers are following protocol.

  • Prepare an information folder for the Hot Lunch Servers, Managers and Supervisors explaining their job duties.

  • Host a meeting at the beginning of the school year to train all Hot Lunch Room Parents, Managers and Supervisors.

Daily Volunteers

  • Maintain a volunteer calendar/schedule of days throughout the school year in which hot lunches will be served by division and by class.

  • Sign up Genius – Maintain and monitor daily to make sure the food service needs are met.

Fall Luncheon & Boutique
Every year, a fun Fall event kicks off the Holiday season at Viewpoint.  Dress up, meet your friends for lunch, and do some shopping with a collection of curated vendors.  Our vendors donate 20% of the sales to the to VSSA for fun events.

Tasks include securring location, select the give-away, identify vendors, create raffle baskets, and coordinate ticket & raffle ticket sales.

Create special welcoming events for the Viewpoint community and be a spokesperson at key events.

This committee will give you the opportunity to meet other parents and help organize the Welcome Events before and at the start of the school year.  You will also have the option to represent the VSSA at various key event and share what we do and what our upcoming events are.

  • Plan 2 separate events (one for PS/LS and one for MS/US)

Create monthly special events for the graduating class of 2024.   

Events take place throughout the year.  These include First Day of School - Senior Breakfast, Senior Lunches, Senior Spirit gear, and Last Day of School/Graduation Lunch.

 

Responsibilities of the committee:

  • Serve food for all Seniors at First Day of School Breakfast & Monthly Senior Lunches

  • Have fun with themes if you want. Past events have been:

    • Breakfast

    • Lunch

    • Ice cream socials

    • Random snacks among other “events”

  • Senior Swag (especially 1st Day of School)

  • Create Sign up Geniuses - You may need to collect items for each event.

  • Recruit Senior parent volunteers and donations for monthly events.

Middle & Upper School Grade Representative
As a Grade Representative, you will represent your grade at the VSSA meetings, communicate with parents on key upcoming events, and lead iAs a Grade Representative, you will represent your grade at the VSSA meetings, communicate with parents on key upcoming events, and lead in grade-specific events.

Communication

  • Communicate monthly with entire grade

  • All communication must be vetted first by the VSSA President for MS/US 

  • Be a point person for welcoming new families & answering any family questions that arise during the school year

  • Grade Reps to help with outreach/invites, with emphasis on new families

Employee Appreciation Breakfast Days

  • Coordinate with Faculty & Staff Appreciation committee regarding planning and organizing

  • Check the Sign Up Genius to make sure we have enough food

  • Send out friendly reminders for your “days”

  • Help with set up

  • Help with collection of items at drop off

Grade Level Dances

  • Collaborate with MS Dance Committee to organize Dances

  • Work with MS & US Deans regarding dance planning 

  • Kids will decide on theme, we will create vision

  • Volunteer at Dance for set up and clean up

  • Recruit others to help as well

 

Attend monthly VSSA Meetings & all major VSSA Events

Sunshine Chair
In this role, you will reach out to families to support them during challenging times on behalf of the VSSA community.

Responsibitlies:

 

  • Liaison with Heads of schools to identify families for outreach/support

  • Send a nice note and care packages on behalf of the VSSA

 

Attend monthly VSSA Meetings & all major VSSA Events

VSSA Treasurer
Assist VSSA Presidents in creating, managing, and reporting on the annual budget.

Responsibitlies:

  • Attend monthly VSSA meetings and all major VSSA events

  • Prepare budgets as needed.

  • Maintain each chair’s budget.

  • Maintain up to date financials.

  • Approve necessary invoices in a timely manner.

  • Provide any insights on the financial health of the VSSA budget.

  • Provide status reports three times per year and as otherwise needed.

  • Liaise with Viewpoint business office.

Primary & Lower School Division Representative
Assist Primary & Lower School President in management the VSSA events through the year.  This is a leadership role.

Room Parent Selection

  • Meet with Heads of LS/PS and PS/LS VSSA President. This will be done 1-2 weeks before school starts. This is when we will assign the Room Parent for each classroom.

 

General Responsibilities

  • Attend monthly VSSA Meetings and all major VSSA events.

  • Recruit volunteers when needed, examples, Holiday Greens, Great Pumpkin Day, Gala, etc..

  • Grade Level Employee Appreciation Breakfast assignments. – Room Parents will need to help set up and collect food at drop off (Time commitment approximately 1 hour). Set up in Faculty lounges.

  • Sign up Genius – Help manage your grades/class sign up genius. This may be related to Holiday parties or Employee Breakfast/Lunches
     

 

Room Parent Orientation Meeting

  • Explain to room parent that this informational orientation is Mandatory

  • Pass out packets and room lists. These packets will have the following…

  • VSSA Position list with Contact information (VSSA will provide)

  • Room Parent’s class list (School will provide)

  • Announcement for Back to School night

  • Sign up Sheet for all parents to agree to receiving weekly/monthly emails from you. (We will provide a universal form for you to use)

  • Mission Statement and E-mail policies

  • Volunteer Code of Conduct

  • Go over rules

 

Email Communication

  • You will be asked to send out emails to the room parents who will then send them directly to parents.

  • These emails are approved by the PS/LS VSSA President before they are sent out.

 

Flowers From the Heart

  • Email Reminders to Room Parents

  • Remind Room Parents to bring a bouquet of flowers

  • Send out sign up genius to recruit volunteers to help with event a month in advance

  • Push page needs to go out with approval from Viewpoint Communications (Christy Salcido)

 

Employee Breakfasts

  • Weekly Mailer Notification and Room Parent Reminders

  • Help collect food with assigned room parent classrooms at Drop Off

  • Set up in faculty lounges

 

Lunch with Heads of LS/PS

  • Order and pay for lunch for the Heads of LS/PS

  • Attendance: Reps for LS and PS, Heads of LS/PS, VPs and Presidents

  • Coordinate times and dates twice a year

  • Lunch before Winter Break

  • Lunch towards end of school year

Primary & Lower School Classroom Representative
As a Class Rep, you will represent your class at the VSSA meetings, communicate with parents on key upcoming events, and take the lead in Primary & Lower School events.

Communication

  • Communicate monthly and ad hoc with your class

  • All communication must be vetted first by the VSSA President for PS/LS

  • Be a point person for welcoming new families & answering any family questions that arise during the school year
